Privacy Policy

This policy explains how the ChatGPT plugins published by Piotr Kowalczyk ("we", "us") handle data. It covers every plugin listed at https://plugins.util9.com and the servers that run them.
Who is responsible
The data controller is Piotr Kowalczyk (Poland). You can reach us at support@util9.com.
What data we process
The plugins have no user accounts and never ask you to sign in. We only process what ChatGPT sends to a plugin tool when you use it:
- tax and company identifiers, such as EU VAT numbers and Polish NIP, REGON and KRS numbers;
- company names and addresses;
- bank account numbers you ask us to check;
- invoice details you provide to generate an invoice PDF (seller and buyer details, items, amounts, dates);
- dates, currencies and amounts used for exchange-rate and business-day calculations.
To deliver a response, our servers also see technical data: the IP address of the connecting client (usually OpenAI's infrastructure), the time of the request, the requested address and the response status.
Why we process it
Only to carry out the request you made in ChatGPT, for example to check a VAT number or to create an invoice PDF. The legal basis is Article 6(1)(b) GDPR (providing the service you asked for) and, for technical logs, Article 6(1)(f) GDPR (our legitimate interest in keeping the service secure and working).
We do not use your data for advertising, analytics, profiling or training AI models.
Who receives it
- Official public registries and data sources that answer your query: the European Commission (VIES VAT number validation), the Polish Ministry of Finance (register of VAT taxpayers, the "White List"), the Polish Ministry of Justice (National Court Register, KRS), Narodowy Bank Polski (NBP) and the European Central Bank (ECB). They receive only the identifier, date or currency needed for the query.
- Our hosting provider: a virtual private server operated by Hostinger in the European Union, where our servers, technical logs and generated files are located.
- OpenAI, which operates ChatGPT, receives the tool results so it can show them to you. OpenAI's own privacy policy governs your conversation in ChatGPT.
We do not sell data and do not share it with anyone else unless the law requires us to. We do not transfer data outside the European Economic Area ourselves.
How long we keep it
- Queries are not stored. Answers from public registries may stay in server memory for a short time to avoid repeating identical queries; this cache is lost when the server restarts.
- Technical server logs are kept for at most 14 days and then deleted. They do not contain the content of your queries.
- Generated PDF files are available under a random, hard-to-guess link and are deleted automatically after 24 hours.
No tracking
The plugins and these pages use no cookies, no analytics, no advertising identifiers and no third-party trackers. We do not build profiles and do not make automated decisions about you.
Your rights
Under the GDPR you have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to data portability. Because we do not store queries, in most cases there is nothing to access or delete beyond short-lived technical logs. To exercise your rights, write to support@util9.com.
You also have the right to lodge a complaint with a data protection authority. In Poland this is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, uodo.gov.pl).
Changes
We may update this policy when the plugins change. The date at the top shows the current version.
